Introduction
This is the manual for MirrorMed. Using this manual you will be able to use all of the functionality of MirrorMed. This is a work in progress so be patient.
Scheduling a provider's availability
Before scheduling a patient, you must schedule a provider to be available for the desired appointment time. In other words, if the system is not aware that the provider is available on a specific date between specific hours, you cannot schedule a patient encounter for that time. See the following image for an example.

In the example above the provider is only available on Wednesday for this week. He is available from 7:00 AM to 9:00 AM, he isn't available from 9:00 AM to 10:00 AM and returns at 10:00 AM. Be sure to set a time for him to leave after he comes back so there is a matching leave time for 10:00 AM. (There must be an "Out" time for every "In" time and vice versa)
Create a schedule
- In the top menu, click Calendar.
- In the second row menu, click Admin > Add New Schedule.
- Enter the following information and click Add.
Name - The name of the schedule Schedule Code - Enter PS for a provider schedule, NS for no show or ADM for administration. [Can you add your own codes?] Short Description - A brief description of the schedule Long Description - a long description of the schedule Practice - The location of the schedule. For example, the building. Provider - The name of the health care provider. Or Facility/Equipment - The facility or equipment that will be in use.
Creating patient records
Patient records can be created and edited, but for regulatory reasons, they cannot be removed from the database.
Prerequisites
Before you begin creating patient records, you must configure MirrorMed. In particular, there must be at least one provider (for example, a physician or other healthcare specialist) to be entered as the default provider for the new patient. For more information on configuring MirrorMed see the Initial Configuration Guide.
Create a patient record
- In the top menu, click Patient.
- In the second row menu, click Patients > Add Patient. The Patient Details form displays.
- Enter the patient information. Do not enter a record number unless directed to do so by your system administrator. The system will assign a number automatically.
- Click Add. A new form with additional fields displays.
Tip
Before creating a record, perform a search to ensure that the patient has not been previously registered.
Searching patient records
You can perform a search for a patient record using the last name, patient ID or SIN. Wild card searches are not supported.
Search for a patient record
- In the top menu, click Patient.
- In the second row menu, click Patients > Search.
- In the Search field, enter the patient's last name, ID or SIN and click Search.
- In the search results click the patient name.

Adding a Fee Schedule
To add a fee shedule you simply go under the admin panel, hover over billing, and click "Add Fee Schedule" Now you are presented with several forms:
Name: Any name without embedded spaces or underscores Label: This is simply for your reference, but don't leave it blank Description: You can leave this blank, or give it a description. Priority: 1 (don't know what other values do, anybody?)
Now simply click "Add"
The next step is to again, hover over billing, then click list fee schedules. Now click on the fee schedule you just created, and at the bottom of the page click [Update Fee Schedule]
From here you can "Activate" your CPT codes by clicking the box beside the code under "Status", it should turn green, and add their cost. The "Mapped Code" allows you to give the CPT code a different name that shows up on the bill. Once finished, hover over billing, and click edit super bill. Click "1" Now filter through the database and activate your CPT and ICD9 codes by clicking the box beside them under "Status" Once again, they should turn green.
